Code of Conduct
1. Introduction and Goal
gamescom latam is an event that celebrates gaming culture in all its forms, led by a set of core values which are not up for debate: respect, inclusion, accountability, and safety.
As part of the global gamescom brand ecosystem, we also hold international principles of ethics, inclusion, and peaceful coexistence. Our goal is to offer everyone a space where cultural, identity, and social diversity is celebrated and people are treated with dignity and equity regardless of their background, including origin, gender, orientation, appearance, or position.
Any discriminatory, prejudiced, hostile conduct, or any kind of behavior compromising the integrity of any person at our event will not be tolerated. We want every interaction within the event to reflect an ethical, safe, and welcoming environment for all participants.
2. Scope of Application
This Code of Conduct aims at establishing clear rules and consequences for non-compliance regarding the expected behavior coming from anyone participating in gamescom latam, be them visitors, business executives, developers, content creators, cosplayers, exhibitors, sponsors, journalists, photographers, work teams, and service providers, or anyone else.
This document also applies to digital areas linked to gamescom latam, such as official comms channels/social media platforms, websites, community groups, matchmaking platforms (for business connections and networking), mobile apps, live streaming platforms, among others. Any inappropriate behavior in these platforms will also not be tolerated.
Considering this digital context, the organization hold the right to apply specific sanctions when needed, including formal warnings (verbal or written), removal of inappropriate content/comments, temporary blocking or banning users from the event’s digital platforms and, when necessary, reporting the case to the legal authorities. These measures aim to preserve a safe, inclusive, and respectful digital space for the whole community.
Participating in any activity related to gamescom latam implies automatic acceptance with and adherence to the rights and obligations under this Code of Conduct.
The organization team for gamescom latam may update this document at any time, always with the aim of ensuring a positive, safe, and inclusive experience for the whole community. Please make sure to check the most recent version on our websites.
3. Basic Principles
Mutual respect: All interactions at gamescom latam must be based on mutual respect. This means actively seeking respectful listening, dialogue, and coexistence, recognizing that each person has their own cultural background, set of opinions, and way of expressing themselves. Mutual respect is the cornerstone for a pleasant experience in the most positive way.
Inclusion and diversity: gamescom latam values cultural, social, and identity diversity. People from different walks of life, gender identities, sexual orientations, ethnicities, age groups, appearances, capabilities, and beliefs are welcome. At our event, diversity is seen as a sign of a strong, healthy community, and inclusion is a constant commitment to ensuring that everyone feels represented and welcomed.
Physical and emotional safety: The event must be a safe space both physically and emotionally not only for in-person events, but also in a digital context as well. This encompasses everything from the physical integrity of all attendees to ensuring an environment is free from intimidation, embarrassment, or any hostility. The organization is committed to implementing measures to prevent these from happening, providing support and responding quickly to any situation that might compromise the well-being of any attendee.
Zero tolerance for harassment, discrimination, or violence: Any form of harassment — be it physical, verbal, psychological, or virtual — will not be tolerated, nor will any discriminatory or aggressive attitudes. This includes (but is not limited to) sexist, racist, homophobic, transphobic, ableist, religiously hateful, or any other type of hostile behavior towards any individuals. Any violation of this principle may result in immediate measures, including the expulsion of the participant from the event and, if necessary, contacting the legal authorities.
4. Expected Behaviors
Expected behaviors during an in-person event:
- Keep a respectful and collaborative attitude in all areas of the event, including shared spaces (stages, arenas, brand activations, restrooms, food courts, queues, press accreditation, venue access etc.), restricted areas (business area, lounges etc.) and operational spaces (backstage, dressing rooms, press room etc.), avoiding attitudes that may be seen as hostile, provocative, or disrespectful;
- Treat all attendees kindly regardless of their background, appearance or opinion, this includes visitors, business executives, developers, content creators, cosplayers, exhibitors, sponsors, press, photographers, work teams and service providers.
- Respect and value the cultural, identity, and social diversity of all participants;
- Follow the guidelines laid out by the organization team, as well as the production, accreditation, security, cleaning, and staff teams;
- Respect the rules regarding what can and cannot be brought to the event as established by the organization’s guidelines;
- Immediately report any episode of harassment, discrimination, or inappropriate behavior to an organization representative;
- Ensure the proper use of shared spaces and avoid disturbances, unnecessary crowds, or undue interruptions to stage and arena activities or content.
- Respect queues, access/entrance rules, and the limits of each event area;
- Ask for consent before taking pictures or recording others, especially cosplayers, children, and people in vulnerable situations;
- Use images captured only with the direct authorization from those involved, respecting their image rights;
- Share accurate and official information, avoiding the spread of rumors, fake news, or misleading content.
Expected behaviors in a digital context:
- Keep the same attitude regarding respect, accountability, and inclusion for all digital interactions related to the event (official social media, live streams, communities, apps, and matchmaking platform);
- Avoid any forms of offensive language, harassment, hate speech, spam, or online intimidation;
- Share accurate and official information that can be found at gamescom.com.br and on gamescom latam’s verified social media profiles, avoiding the spread of rumors, fake news, or misleading content;
- Respect the privacy of other attendees by not sharing personal data, images, or content without their consent;
- Use the event’s digital channels with a positive attitude,, contributing to a healthy and nurturing space for exchange and engagement;
- Do not use generative AI or deepfakes to create or alter images, audio, or video of attendees without their explicit consent.
DO NOT FORGET: comments, posts, and online interactions are subject to the same laws, regulations, and consequences as inappropriate behavior in regular in-person events, and may also result in specific measures such as formal warnings (written or verbal), removal of inappropriate content or comments, temporary block or ban on the event’s digital platforms, and, when necessary, contacting legal authorities..
5. Unacceptable Behaviors
Any kind of conduct that might jeopardize the well-being, safety, or dignity of any person will not be tolerated. The following are examples of what Is expressly prohibited:
Unacceptable behaviors during an in-person event:
- Offensive or discriminatory comments, gestures, or attitudes based on race, color, ethnicity, origin, gender identity, sexual orientation, physical appearance, disability, social class, religion, or any other personal characteristic;
- Jokes, “pranks,” or content that reinforce stereotypes, reproduce hate speech, marginalize minority groups, or contain inappropriate sexual language;
- Verbal, physical, moral, or sexual harassment, regardless of alleged intent — including non-consensual touching, invasive staring, persistent catcalling, intimidation, or stalking;
- Being visibly drunk or under the influence of illegal substances;
- Consumption of alcohol in unauthorized areas;
- Sharing, possessing, or using drugs in any area of the event;
- Incitement to violence, intolerance, or risky behavior, whether physical or verbal – such as shouting, threats, or intimidation;
- Invasion of restricted or controlled access areas and/or attempt to circumvent security rules;
- Lack of respect for staff, collaborators, security guards, producers, attendants, promoters, cleaners, and other professionals involved in the event;
- To cause disturbances, gather unnecessarily big crowds, or to disrupt brand activations, stage content, or scheduled activities;
- Disregarding instructions from staff, production, or security teams;
- Recording, transmitting, or sharing content that ridicules, embarrasses, or exposes visitors, participants, or professionals without their consent;
- Refusing to remove content when requested by the person involved in it;
- Misuse of image, video or audio captured at the event without proper authorization.
Unacceptable behaviors in a digital context:
- The same rules of respect and safety apply to digital areas linked to gamescom latam (official social networks, live streams, communities, apps, matchmaking platform, among others);
- Use of offensive language, harassment, hate speech, spam, or online intimidation;
- Sharing fake news, rumors, or misleading information about the event, its participants, or partners;
- Dissemination of inappropriate, violent, sexual, or discriminatory content on digital channels related to the event;
- Disclosure of personal data or images of any individual without their consent;
- Attempts to invade, manipulate, or harm the event’s digital platforms;
- Creating fake profiles or misusing the gamescom latam brand to deceive or harm other participants.
Examples of Violations:
- To look down on a visitor or event organizer (support staff etc.) because of their manner of dress or expression;
- Using offensive terms in face-to-face interactions or in digital content;
- Attempting to invade activations or backstage areas without authorization;
- To record or expose embarrassing content involving people without their consent;
- Ignoring or disregarding instructions from support or production teams;
- Posting hateful comments on live streams or social media related to the event.
6. Image and Content Rights
Limits and consent: Content creators, the press, and other participants must have explicit consent before recording or publishing images of individuals in contexts in which their appearance was not merely incidental. The use of images of individuals in private, embarrassing, or vulnerable situations is strictly prohibited.
Content produced at the event: Any content generated within the event (videos, photos, broadcasts, reports, posts) must respect this Code of Conduct and all Brazilian legislation currently in effect. Creating content that commercially exploits the image of people, brands, or the event itself without the proper authorization from their owners is strictly forbidden. It is also prohibited to create content that ridicules, exposes, or harms the image of individuals, brands, or gamescom latam itself. The organization reserves the right to request the removal of content that violates these rules.
Copyright and intellectual property: Unauthorized reproduction of copyrighted materials (trademarks, games, trailers, artwork, music, lectures, presentations) is prohibited. Content displayed in booths or on stages belongs to the respective companies and may only be recorded or transmitted with express authorization.
Digital environments: the same image and content rules apply to live streams, stories, posts, and other online interactions related to the event.
Misuse of trademark: Using the name, logos or visual identity of gamescom latam for commercial, promotional or representational purposes without formal authorization is strictly forbidden.
7. Reporting Procedures
How to report an incident at an in-person event:
- Immediately seek an identified member of the security team, staff member, or official safe support area;
- Use the in-person reporting channels (kiosks, QR codes, information desks) to report immediately so we can act as soon as possible.
How to report in digital environments:
- Report immediately via the event’s official channels (online form, customer service, email atendimento@gamescomlatam.zendesk.com );
- Reports on social media can be made via direct message to official profiles; report immediately so we can act as soon as possible.
What to report:
- A clear description of what happened;
- Approximate location, date, and time;
- Identity of the people involved (if possible);
- Evidence (screenshots, photos, links when applicable) and witnesses, if any.
Safe support and arrangements:
- The organization team is committed to welcoming the parties involved, ensuring attentive listening, respect, and support, evaluating the facts and gathering the necessary information before taking any position or action;
- The investigation process will be conducted with seriousness, impartiality, and confidentiality, and, whenever necessary, with the involvement of the legal authorities.
The importance of reporting immediately: We understand that it is not always easy to report an incident, but by sharing the occurrence promptly, you contribute to helping the organization act on the matter faster and with more care in order to keep the event a safe, welcoming, and respectful space. The sooner we receive the report, the greater the chances of effectively investigating and taking appropriate action. Reports submitted after a long tie – especially after the event has ended – limit our ability to respond and analyze the facts due to a lack of proper records, witnesses, or adequate operational conditions.
Safety measures for those reporting:
- Confidentiality: the identity of the person reporting will be carefully protected, guaranteeing privacy and security;
- Welcoming environment: our team is prepared to listen attentively, offer support, and treat each story with respect, without judgment;
- Protection against retaliation: any attempt at intimidation or retaliation against anyone who makes a complaint will be considered a serious offense and treated with the utmost seriousness.
Organization’s action plan:
- Assess the complaint immediately;
- Take proportionate measures, which may include warnings, removing the participant from the event, banning from future editions, removing digital content, contacting the competent authorities etc.
- Inform the person reporting, whenever possible, about the steps taken.
8. Consequences
Failure to comply with the rules and guidelines of this Code of Conduct may result in immediate disciplinary action, proportionate to the severity of the conduct and as assessed by the gamescom latam organization. Penalties may be applied individually or cumulatively, including but not limited to:
Verbal or written warning: the participant will be formally warned by the organization, with an internal record kept by the responsible team;
Cancellation of any badges, tickets or access authorizations as well as immediate expulsion from the event: the participant’s stay will be terminated, their credentials or tickets canceled, and they will be removed from the Gamescom LATAM premises. If they have purchased tickets or credentials valid for more than one day, all future entries will also be automatically canceled, without the right to a refund. This measure is also applied without reimbursement of any expenses, whether related to tickets, transportation, accommodation, or other costs;
Ban from future editions of the event: the participant may be formally banned from participating in gamescom latam in future editions – whether as a visitor, guest, partner, exhibitor, accredited professional or collaborator;
Implementation of all applicable measures to any form of digital context: In cases of violations occurring on digital platforms linked to the event (official social networks, live streams, communities, applications, matchmaking platforms, among others), we may remove inappropriate comments or content, temporarily or permanently block access to official channels and, when necessary, notify the competent authorities.
Reporting the incident to the legal authorities: if the behavior constitutes a possible violation of current legislation (such as harassment, discrimination, violence, or other conduct foreseen by law), the organization will immediately report the facts to the responsible authorities, providing all necessary cooperation for any investigations.
9. Organization’s Responsibility
The gamescom latam organization team acknowledges that building a safe, inclusive, and respectful space is a responsibility shared between all participants. Nevertheless, we make specific commitments to ensure that this Code of Conduct is effective:
Fair and impartial Implementation of this Code of Conduct: the organization team is committed to applying this Code of Conduct in a consistent, transparent and proportionate manner, evaluating each situation with seriousness and balance.
Team training: all staff, security, production and support teams will receive the necessary training to identify, welcome and handle incidents in a respectful, quick, and effective manner.
Clear and accessible communication: the Code of Conduct will be widely disseminated and remain easily accessible across various channels — official website, digital platforms, groups and communities, visual signs in the venue etc.
Clear support structure: Visible contact points and official reporting channels will be made available, ensuring that all participants know where and how to seek help.
Collaboration with legal authorities: In cases involving potential legal violations, the organization will cooperate with all legal authorities, prioritizing the safety and well-being of the community.
10. Closing terms
gamescom latam is, above all, a space for celebration, creativity, and respect. Every person participating —whether as a visitor, exhibitor, partner, content creator, press member, cosplayer, or team member— contributes to making this an amazing collective experience.
We want every individual to be active agents in creating a safe, inclusive, and inspiring environment where diversity is valued and every voice can be freely expressed.
By implementing this Code of Conduct, we reaffirm our commitment to transforming gamescom latam into an event that reflects the best of gamer culture: welcoming, innovative, and community-driven.
